BCSEA Request for Proposals: Financial Development Plan

About the BC Sustainable Energy Association (BCSEA)
The BCSEA is a non-profit association of citizens, professionals and practitioners, committed to promoting the understanding, development, and adoption of sustainable energy and energy conservation and efficiency in British Columbia. Our vision is a future in which all of BC's energy comes from clean, renewable, efficient sources. Our Mission is to facilitate the transition to a sustainable energy future through education, advocacy and tangible community projects.

Founded in 2004, the BCSEA has attracted over 1500 individual members and financial supporters, and has become a visible and credible contributor to BC's energy policy and climate change discussions. We always and consistently put forward positive and practical solutions in the form of programs and policies. The BCSEA's unique voice is informed by a seasoned team of energy and climate change experts, a motivated membership, and support from public agencies and businesses.

The BCSEA's activities include core administrative and member services, two major projects (SolarBC and Climate Change Showdown), several smaller projects and a regional chapters program. We have eight active chapters across BC: Central Interior, Comox Valley, Kamloops, Okanagan, South Peace, Vancouver, Victoria and West Kootenays.

Project Overview
The BCSEA's projects and activities are growing more quickly than our financial resources, and our success as an engine for effective policy and practical projects needs to be better supported by a deepened and diversified revenue stream. Increased funding will allow us to hire additional staff to more effectively deliver the development, communications, engagement and policy aspects of our work.

We are seeking proposals for the preparation of a financial development plan that includes recommendations for increasing revenue through: sponsorship, new member acquisition and member retention, donor development, annual giving, significant donors, stewardship and recognition, business engagement, direct mail, special appeals, special events, and other activities.

Project Objectives
The proponent will fulfill the following objectives through completion of the project:

  • Review BCSEA's organizational capacities and existing development activities;
  • Develop a project work plan, confirm participants and schedule appropriate meetings;
  • Convene a needs assessment and training workshop;
  • Prepare and deliver workshop results;
  • Submit a draft financial development plan;
  • Receive feedback on draft report by teleconference and email;
  • Incorporate feedback and deliver final financial development plan.

Competencies
Ideally, the successful proponent will have:

  • Demonstrated successful experience and ability preparing similar fundraising and development plans;
  • Demonstrated skills as a facilitator, mentor or teacher;
  • Soundness of methodology and creativity of approach;
  • Demonstrated understanding of volunteer-run non-profit organizations and the unique characteristics of the current opportunity

Project Administration

1. Timeframe
The project will take place from June 1 through August 29, 2008 A draft of the project report will be required for review by July 31, 2008. The final draft of the report will be due August 15, 2008.

2. Project Administration
The BCSEA has commissioned the project as outlined in this Request for Proposals. The Provincial Coordinator of the BCSEA is the proponent's key liaison regarding completion of the project.

3. Remuneration
The fee for the project will be agreed upon in advance by the BCSEA and the proponent, and shall not exceed $5000, inclusive of expenses and applicable taxes. The proponent will be paid a retainer of one third of the project fee at the outset of the project. The balance will be paid on completion of the project and delivery of the report within the approved timeframe and in a manner that is satisfactory to the BCSEA.

4. Reporting
The final report is to be submitted in both hard copy and digital form on or before the final project deadline of August 15, 2008.

5. Copyright
The BCSEA will retain the sole copyright of the project report. The consultant will be credited as author on all distributed copies of the report.

6. Confidentiality and Privacy
The proponent will ensure that information gathered in the course of the project will not be used for any other purpose except to fulfill the objectives of the project. The proponent will also observe the requirements of the British Columbia Personal Information Protection Act as applicable in the course of completing the project.

Submitting a Proposal for this Project
Please submit a proposal for this project, by email, no later than May 23, 2008. Only those responses that are made in writing and submitted by e-mail to the address below by the deadline will be considered. The contract for this project will be awarded no later than May 30, 2008.

Your proposal will illustrate your understanding of the project's objectives, provide evidence of your experience with respect to the project competencies, offer a work plan that indicates how you would deliver the project and include a project budget.

Your proposal should be no more than four pages, not including your resume or CV.

Request for Proposals: Civic Sustainability Framework

The City of Victoria is requesting proposals from qualified Sustainability Consultants/Consulting Firms to work with City staff to develop a Civic Sustainability Framework that will serve as a guiding vision of civic sustainability for the City of Victoria. This will address both corporate and community activities.

The main deliverable will be a Civic Sustainability Framework for the City of Victoria that would address environmental, economic, social and smart growth impacts in all city business, articulate a thematic vision of sustainability for Victoria including the identification of principles, desired outcomes, and strategic directions for action in both corporate and community spheres.

Energy Efficiency Outreach and Energy Advisor Assistant (Summer Student)

City Green Solutions, a Victoria based social enterprise offering energy efficiency programs and services, is seeking a motivated student to fill the position of: Energy Efficiency Outreach and Energy Advisor Assistant. This is a temporary, 14 week, position. The successful candidate must be outgoing and able to work a flexible schedule between office and work in the field.

Canada Summer Job Eligibility

  • Was registered as a full time student during the preceding academic year.
  • Intends to return to school on a full-time basis during the next academic year.

Energy Advisor Assistant:

  • Operate as an assistant to a certified energy advisor to deliver residential energy efficiency assessments using the ecoENERGY retrofit program system
    • Set up blower door and other equipment required.
    • Take accurate measurements.
    • Identify insulation levels in attic, crawlspaces, etc.
    • Assist energy advisor as required.

Energy Efficiency Outreach:

  • Respond to City Green client and partner requests for information and details on energy efficiency programs and services.
  • Assist with energy efficiency program marketing and outreach
  • Provide office administrative support as required.

Outreach Coordinator

Dogwood Initiative is a Victoria, BC based non-profit organization that helps British Columbians develop common-ground solutions to forestry and energy challenges. Coordinator will work in collaboration with all of Dogwood Initiative’s program staff to coordinate the outreach activities and events associated with each of Dogwood’s ongoing campaigns. This will include organizing door to door outreach, rallies, information tables, petition drives, public meetings and events.

We seek candidates who possess the following:

•A demonstrated commitment, knowledge and passion for environment, social justice, land reform, community and First Nations issues;

Office Manager/Operations Assistant

The Office Manager/Operations Assistant is responsible for ensuring that the day-to-day operations of the office function smoothly, efficiently and safely. This includes streamlining operations within the office; ensuring proper functioning of the office equipment; serving as point of entry for telephone, visitors and mail; and assisting with human resources and operations tasks.

PRIMARY RESPONSIBILITIES

Oversee general office administration:

* Purchase, lease, maintain, repair, upgrade & improve service contracts and office systems and oversee office equipment, supplies and centralized administrative systems.
* Assure that all ForestEthics office equipment and supplies are readily available and in good working order.
* Maintain paper and e-filing systems for all vendors and office management tasks.
* Take notes of weekly staff meetings and distribute them.
* Manage the general upkeep of office, kitchen and bathroom.
* Manage and order eco-friendly office supplies.
* Greet visitors to the office.
* Responsible for FedEx, UPS and USPS mailings for staff. Complete forms, reconcile invoices, and assign billing codes. Ensure adequate mailing supplies and postage is available take mail out daily.

Oversee the facilities management of the San Francisco office, including:

* Handling facility logistics, including responsibility for general office upkeep, liaising with vendors, and space allocation.
* Maintain a safe, orderly and efficient office.
* Open the office at 9:00 AM and close the office at 5:00 PM Monday through Friday.
* Manage the outside contractors for custodial services and facilities management to ensure that lighting, plumbing, security, and housekeeping needs are taken care of in a timely manner.
* Act as main point of contact for landlord regarding all office issues.
* Maintain First Aid and Disaster Kit and Plans including fire drill.
* Answer and route general ForestEthics calls and emails.
* Oversee phone system maintenance.
* Manage office moves, office space planning and improvements.

Provide operations assistance for the organization:

* Recommend and implement new operations efficiency procedures and orient all staff on these procedures.
* Maintain organizational Intranet, set up new users and train them on the use of the system (Central Desktop) for online collaboration.
* Project manage the integration into Salesforce Customer Relationship Management (CRM) Database. Liaise with consultant on the training of new and existing staff.
* Assist with new employee arrival, set-up and orientation.
* Coordinate logistics for annual staff retreat and special staff event meals.
* Monitor and maintain office budget including approving invoices and assisting with the development of the annual office budget.
* Assist with the day-to-day financial record keeping as needed (including expense reports, management and reconciliation of petty cash).
* Process and monitor time sheets, vacation, and sick leave records and retirement eligibility. Distribute payroll.
* Provide additional administrative support to projects and teams throughout the organization as necessary and able.

Information Technology support:

* Liaise with staff for IT support needs. Manage individual needs.
* Project Manage the outside IT Contractors for San Francisco office staff.
* Coordinate the purchase and set up for new staff computers with IT consultants.

SKILLS

* Ability to exercise initiative and judgment.
* Ability to prioritize multiple tasks with excellent attention to detail.
* Experienced user of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Excellent interpersonal communication, and written communication skills.
* Ability to switch gears quickly, keep a positive attitude and adjust focus amidst change.
* Organized work style, able to track multiple work projects, set and meet deadlines, support staff and plan ahead.
* Ability to work on computer approx. 4-5 hours/day, fluctuating from all day to some of the day.
* Ability to travel to different parts of San Francisco and lift 20 pounds.

QUALIFICATIONS:

* Bachelor’s Degree or equivalent relevant administrative experience.
* At least two years experience working as an Office Manager.
* Experience with database systems an asset.
* Mac and PC computer knowledge important.

City Green Solutions
Energy Advisors

City Green Solutions, the only social enterprise ecoENERGY assessment service provider in British Columbia, is seeking to expand service delivery of our services in a variety of areas across BC. City Green Energy Advisors are independent contractors that work with the marketing support and assistance of the City Green team. Advisors need pre-requisite skills, an equipment package, training and certification and a marketing license to operate as a Certified Energy Advisor. City Green will arrange training, certification and licensing requirements and assist with accessing equipment.

General Qualifications:

• Operate as an independent contractor to conduct residential energy efficiency assessments using the ecoENERGY retrofit program system;
• Prepare, present and explain custom ecoENERGY Retrofit Home Energy Plans to residential customers;
• Prepare and deliver ecoENERGY Houses labels to residential customers;
• Promote and conduct follow-up assessments with residential customers;
• Complete and submit, on a timely basis, all reports and electronic files required;
• Respond promptly to all City Green and client issues and inquiries;
• Install (if required) energy and water conservation devices in residences;
• Attend scheduled team meetings and training sessions as required;
• Comply with the Natural Resources Canada Houses code of conduct;
• Undertake regular upgrade training;
• Purchase and maintain the required equipment: In addition to their own vehicle, advisors need a blower door, notebook computer (1GHz or higher) with portable colour ink jet printer, high speed internet connection, ladder and small hand tools. Approximate cost of purchasing advisor equipment new is $4,500. City Green can assist the advisor to purchase good quality used equipment.

Make a difference … if you care about the environment, join Day4 Energy, producer of solar energy products. You will produce solar modules and operate basic equipment.

Requirements: Positive work attitude, willingness to learn, experience in manufacturing/industrial environment an asset, operate basic equipment, strong communication skills in English, ability to work independently and as a team, ability to handle moderately physical labour.

Wages start at $11 per hour. Medical, dental and MSP are provided.

Work hours: 1st shift: 7:00am – 3:15pm
2nd shift: 3:00pm – 11:15pm
3rd shift: 11:00pm – 7:15am
Note: Vehicle recommended as public transportation is not easily accessible.
